Event Registration – Important Information

Registration is handled on an event-by-event basis and can be completed through our website or app by visiting the Events Page.

🗓 Please note:
Registration and payment deadlines are typically 10 days prior to the start of each event. Early registration is highly recommended to ensure your spot.

🔒 Important Disclaimer:
HoopSource reserves the right to adjust or modify any team registration in the best interest of the event.
Submitting registration does not guarantee placement in a specific division, as all final placements are determined by the HoopSource staff to promote competitive balance and an optimal event experience for all teams.

HoopSource – Refund Policy

• Refunds for cancelled team or individual registrations must be requested at least 30 days prior to the start of an event.
  ⚠️ A $50 processing fee will be applied to each approved refund request.

• No refunds will be issued for teams or individuals who withdraw, cancel, or forfeit participation within 30 days of the event.

• All approved refunds will be processed after the conclusion of the event.

• No refunds will be given for game cancellations caused by weather or unforeseen circumstances beyond our control.

• No refunds will be given for ejections or if one games is viewed.

Facility & Venue Use Policy

At HoopSource, we utilize multiple gyms and facilities—typically located within 25 minutes of the nearest airport—to accommodate the size and scope of our events. Due to the high volume of participating teams, games will take place across multiple venues.

Respecting our facilities is not optional—it’s essential.
The venues we partner with are the backbone of our events, and we consider them the most vital part of our operation. We ask all participants, spectators, and staff to treat each location with the utmost care and respect.

⚠️ Any damage to a facility or failure to show proper respect (including inappropriate behavior, littering, or property misuse) will result in immediate and indefinite suspension from all HoopSource events for any individual or team involved.

Tournament Schedules – Important Info

We strive to release schedules by Tuesday evening (11:59 PM) the week of each event. Once finalized, schedules will be sent to coaches via email, posted on our website, and available through the HoopSource app.

While we make every effort to have schedules live by Tuesday, please understand that game schedules are FINAL once released. No changes will be made after publication.

🔒 Please register at the appropriate level for your team, as divisions and placements are determined based on competitive balance and available matchups.
📌 All registrations and division placements are subject to change at the discretion of the HoopSource Basketball staff to ensure a fair and quality event experience for all participants.

Participant Waiver Requirement

To ensure the safety and compliance of all participants, we require that each player completes a waiver form once annually within the calendar year.

📌 This waiver must be completed prior to participation in any HoopSource event.

Once submitted, the waiver will remain valid for all events occurring in that same calendar year.

Team Roster Submission – Required

All teams participating in a HoopSource event are required to submit a completed Roster Form prior to the event.

🗓 Deadline:
Roster forms must be submitted no later than Wednesday evening at 10:00 PM before the start of the specific event.

This helps us ensure accurate scheduling, eligibility verification, and a smooth experience for all teams.

Event Game Schedule Overview

🕘 Day 1 games typically begin at 9:00 AM, with the final games of the event usually concluding by 8:00 PM on the last day.

Please note, some events may include modified scheduling due to:

• Friday Evening Games (select events)

• Holiday Weekend Adjustments

• NCAA Regulations for certified events

• Summer Events, where games may start later in the evening

📋 Game sheets provided at each score table will clearly list scheduled game times for that court.
📱 You can also find your full team schedule, court assignments, and results within the HoopSource app for convenient access throughout the weekend.

We recommend all teams be prepared for flexible start times and check for updates as game day approaches.

Game Guarantee & Quantity

The number of games each team plays will vary by event and will be clearly posted on the HoopSource app and website for each specific tournament.

📌 Typically, HoopSource events offer a 4-game guarantee.
In some cases, teams may play a 5th game, depending on bracket format, team count, or schedule design.

Event Pricing & Admission

💵 Team pricing is set per event and will be listed within the event details on our website and app.
We work hard to deliver high-quality, organized, and competitive events—and none of it would be possible without the incredible support of our basketball community. Thank you!

🎟️ Spectator Admission:
Admission is charged daily and typically includes access to 2–3 games per day, depending on your team’s schedule and bracket.
Please be prepared to pay at the door, and note that some events may have cash-only or digital payment options—check your event details for specifics.

Your support directly contributes to venue costs, officials, staff, and the overall tournament experience.

Basketball Sizes & Game Ball Policy

🏀 Ball Sizes by Division:

• Grades 1st – 6th Boys: Intermediate Basketball (Size: 28.5)

• Grades 7th – High School Boys: Regulation Basketball (Size: 29.5)

• All Girls/Women’s Divisions: Intermediate Basketball (Size: 28.5)

• Grades 1st & 2nd (Boys & Girls): A junior/mini ball (Size: 27) may be used if both coaches agree prior to the start of the game.

📌 Important Note:
HoopSource does not provide game balls for tournament play. Each team is responsible for bringing their own basketballs for warm-ups and gameplay.
We are not responsible for lost or stolen balls, so please label your equipment and keep track of it throughout the event.

Game Play Rules

📝 Game Play Rules may vary slightly by event and are tailored to each specific league or tournament format. For complete details:

• Rules are posted on the event page for each tournament or league on our website and app.

• Printed copies of the Game Play Rules are also available at every scorer’s table across all venues for easy reference during games.

We encourage all coaches, players, and spectators to review the rules prior to participation to ensure a smooth and fair experience for all teams.

Home & Away Team Designation + Uniform Guidelines

🏀 Pool Play:

• The first team listed in each matchup is designated as the Home Team.

• The second team listed is the Visitor Team.

🏆 Bracket Play:

• The top team listed in the bracket is the Home Team.

• The bottom team listed is the Visitor Team.

👕 Uniform Recommendations:

• Home Teams are encouraged to wear light-colored uniforms.

• Visitor Teams should wear dark-colored uniforms.

Please come prepared with alternate jerseys if needed to avoid color conflicts. This helps ensure a professional and organized experience for all teams and officials.

🕒 After each game:

• Scores are typically updated within 15 minutes after being reported to the event administrators.

• Team schedules/brackets refresh automatically about 15–30 minutes after game completion on the Exposure Events webpage.

Facility Entry Policy

🚪 Teams will be granted access to the facility no earlier than 20 minutes prior to their first scheduled game.

⏳ Please do not attempt to enter the venue before that time, and kindly wait for direction from event staff before entering.

This helps us manage traffic flow, ensure a smooth event setup, and provide a safe and organized environment for all teams.

Game Streaming Information

🎥 Streaming availability is specific to each event and will be posted on the corresponding event page on our website/app.

📡 All streaming is handled by a third-party provider.
HoopSource does not manage billing or technical support for streamed games, and no payments are collected by HoopSource for streaming services.

We do not guarantee that all games will be streamed.
We will do our best to communicate in advance which games and courts will have streaming available.

Wristband Policy for Coaches, Scorekeepers & Parents

🎟️ All coaches and scorekeepers must wear their unique, event-specific wristband throughout the entire event.

This wristband is required for accommodated entry to the venues and smooth access during games.

⚠️ Coaches and parents who attempt to enter without the required wristband will be charged admission.

Please ensure you keep your wristband on at all times during the event to avoid any entry fees or issues.
